Preamble 

These Terms and Conditions dated 2017-04-15 override all other previously published copies of our terms and conditions that may appear on any of our websites or in any other media.

In the context of these terms and conditions, reference to 'we' or 'our', means Aegean Tour Travel.

General 

We know that making holiday and travel arrangements or booking hotels using the Internet is a new experience for many people, often approached with an understandable amount of caution. Adverse media reports about internet fraud and having to deal with a company based in a foreign country, understandably makes some people reluctant to proceed beyond just obtaining information.

The nature of our business requires an often lengthy communication process to finalize arrangements. In our experience, because you will be dealing directly with one of our English speaking Tourism Advisors a relationship of trust is established. During the past 18 years, since the dawn on the Internet in Turkey, Aegean Tour Travel has become one of Turkeys leading Internet based travel agencies, offering a wide range of tourism services anywhere in Turkey and more recently extending to Greece, Cyprus, Lebanon and Italy. Providing not just up to date information via an established network of internationally hosted web sites, but fast response and follow up to inquiries. This, in conjunction with membership of TURSAB, the Government sponsored Association of Turkish Travel Agencies, and the Turkish Chamber of Shipping, thus providing a platform for mutual trust upon which our reputation is based.

These terms and conditions apply to all our services and can only be modified with prior agreement in writing from an authorized representative of Aegean Tour Travel. Separate terms and conditions apply to bareboat charters, details of which are published here.

Reservations

Our reservation terms and conditions apply to reservations made 'Online' or at our office in Bodrum or at any other location by an authorized representative of Aegean Tour Travel. Acceptance of our ticket, voucher or other confirmation of service booking also implies acceptance of these terms and conditions. Upon receipt of a reservation request we check availability, make a provisional reservation where possible, confirm the price and send details of our booking details and the payment options available. As soon as we receive a deposit [if applicable], balance payment or full payment we confirm receipt, make firm reservations and confirm all other arrangements, including the dates when balance payments are due [if applicable]. Full details of each payment option available and details of the service provider will be set out clearly as 'Final Information' in our booking confirmation, including any payment method discounts or service charges that may apply.

Payment Schedules 

Unless stated otherwise in our quotation, the following standard payment schedule will apply:

  • Bookings made within 8 weeks of the commencement date, payment is required in full.
  • More than 12 weeks before the commencement date we offer an option to pay an initial deposit of 30% with the balance payable 12 weeks before commencement.
  • A discount may be available for payments made in full more than eight weeks before commencement of the booking, details will be included with our quotation in the booking details and payment options section.

Note For bookings where special offers and other discounted prices apply, service providers usually require full payment at the time of making the booking, details will be included with our booking details.

Quotations

If we provide a quotation for services the amount quoted is not guaranteed. Many service providers now offer prices that change dynamically depending upon demand and other factors. If there is a significant delay between the date/time of our quotation and receipt of payment, we reserve the right to re-quote if there is a price change implemented by the service provider.

Prices quoted on our websites are included for guidance only and are subject to change without notice. Any changes to the prices that have not been updated on our websites will be applied to our quotations. We are under no obligation to provide any service at the prices quoted on our websites except as provided for in the 'Online Bookings' section below:

Quotation preparation fees [where applicable], will be refunded in full on receipt of a confirmed booking, details of the refund will be included in our quotation and will be shown as a deduction from the total amount quoted. Quotation preparation fees are NOT REFUNDABLE in the event that no booking is made or if the booking is subsequently cancelled. 

Online Bookings
Our BOOK-ONLINE prices are guaranteed at the ONLINE quoted prices except where there is an obvious typographical error on our website. All BOOK-ONLINE payments are processed manually at our offices in Bodrum, there is no obligation for us to provide the service requested until we accept the booking, process the credit card transaction and payment is received. Online bookings that are not accepted by us will be notified to the person making the booking request, we are under no obligation to explain the reason for not accepting the booking request.

ONLINE BOOKING requests should be made at least 3 days before the date of the booking. In the event that a booking is made within 3 days of the booking we will still endeavor to process the reservation. However, in the event that we are unable to process the booking, for whatever reason, any refund due will be subject to an administration charge.
Full or Final Payment 

Upon receipt of the full or final payment we will re-confirm all arrangements, send tickets, e-tickets or vouchers, provide address and contact details, telephone/ fax numbers and all final information.

Payment Methods 

Depending on your location and/or the amount of time between making the booking and the commencement date of the booking, any or all of the following payment options may be available. Full details of all payment options available will be included in the booking details section of our quotation

  1. Western Union Money Transfer This type of payment may be made in one of the following currencies: USD, EURO, GBP or TURKISH LIRA. This is a safe and usually economical method of payment. We may offer a discount for payments made this way, if applicable this will be included in the booking details section of our quotation.
  2. Bank Transfer This type of payment may be made in one of the following currencies: USD, EURO, GBP or TURKISH LIRA. This is a safe method of payment. We may offer a discount for payments made this way, if applicable this will be included in the booking details section of our quotation.
  3. Personal Cheque Sent by post, this type of payment is only available in GBP, cheques must be drawn on banks within the UK.
  4. Cash On Arrival This option is only available for certain approved bookings where a deposit has been paid and the balance payment can be made at our office in Bodrum prior to commencement of the booking. If cash on arrival payment is made by credit card a transaction fee may apply.
  5. Credit Card We accept payments by credit card for all bookings. Credit card transactions processed in Turkey can usually be in USD, EURO or GBP, however the transaction may have to be completed in Turkish Lira. If payment cannot be processed in USD, EURO or GBP the amount authorized will be converted to the equivalent amount in Turkish Lira at the exchange rate on the day of the transaction as published by Akbank, Turkey. By sending your USD, EURO or GBP authorization you are also confirming acceptance of the TURKISH LIRA conversion amount. Credit card debit authorization can be sent via our secure website, by telephone, fax or email. Details of the credit card payment procedure will be included in the booking details section of our quotation. In certain circumstances we may need to verify ownership of the credit card before processing the transaction.

Responsibility

All products, services, prices and taxes displayed on our global network of websites are subject to availability and change without notice by the operators, service providers and/or governments, and may be subject to currency fluctuations. AEGEAN TOUR TRAVEL ACTS ON YOUR BEHALF ONLY AS A BOOKING AGENT for the airlines, transportation companies, ferry companies, yacht companies and owners, hotel owners or contractors and other principals, and all tickets, exchange orders, vouchers and documents are issued subject to the conditions under which such transportation, accommodation and other contractors/service providers operate. By the acceptance of any documentation, the purchaser agrees that neither Aegean Tour Travel, its employees or associated companies/agents shall be or become responsible for any injury, damage, accident, loss, delay or irregularity that may be caused to a person or property or otherwise in connection with any accommodation, transportation or any other service included in the travel or accommodation arrangements. This will also apply for any reason resulting directly or indirectly from Acts of God, dangers incidental to the sea or terrain, machinery breakdown, hostilities, riots, strikes, civil commotion, thefts, sickness, evacuation, quarantine, immigration, medical or customs regulations, improper or insufficient passports or other documentation or cancellations in itinerary or schedules or from any cause beyond the control of Aegean Tour Travel, its employees or associated companies/agents. Aegean Tour Travel, its employees or associates shall not be or become liable for any additional expenses, consequential costs/losses or liability sustained or incurred by a purchaser as a result of any of the foregoing. Aegean Tour Travel, its employees or associated companies/agents or service providers reserve the right to alter or modify itineraries, accommodation and transportation in any way necessary due to circumstances beyond their control. Aegean Tour Travel, its employees or associated companies/agents do not accept any liability for failure on the part of transportation companies whose responsibility is confined to their own operations. Aegean Tour Travel reserves the right to cancel or withdraw at any time, bookings made by or for the client, in which event no liability whatsoever shall be attributed to Aegean Tour Travel, its employees or associated companies/agents and furthermore while taking every care with purchasers property, shall not be liable for any loss, damage or inconvenience in the handling thereof. Aegean Tour Travel shall be exempt from all liability in respect of any detention, delay, loss, damage, sickness, or injury however or whosoever caused and of whatever kind occurring of or to the passenger at any time when the passenger is not on board a carrier or conveyance used and operated by the transport companies and firms. The passage contract in use by the transportation companies shall constitute the sole contract between the transportation companies and firms and tour participants and/or transportation passengers. Any legal disputes with Aegean Tour Travel arising from events occurring within or outside Turkish borders shall be subject to the laws of Turkey, under the jurisdiction of a Turkish Court.

Cancellation Policy

We strongly recommend that all travelers obtain adequate travel insurance that includes cancellation cover. If circumstances arise for any reason that require a booking or part of a booking to be cancelled, notice must be sent in writing (by post, email or fax), to Aegean Tour Travel including the reason for cancellation. Cancellation will be effective from the date and time we receive the written notice. Cancellation notices sent or received when our office is closed will be timed as received in accordance with our published office opening time. Our office opening times are published at the bottom of every page on our websites.

We accept no responsibility for any costs or expenses incurred as a result of cancellations or disruption to ferry and other transport services caused by inclement weather, mechanical breakdown, cessation of transport operations or any other reason beyond our control. In the event that a ferry is cancelled the ticket is normally good for the next ferry [subject to availability and the terms and conditions of the ferry company]. Departure and any other times published on our websites or included on tickets, e-vouchers or other documentation are included for information only. Transportation ticket holders must check with the appropriate service provider 24 hours before the scheduled departure time to determine if there has been any change to the departure or other time changes. Where an alternative departure time is available and offered a change to the published departure time is not an acceptable reason for cancellation, in any event the cancellation policy of the service provider will apply.

If a client inadvertently, or purposefully, uses a service provider other than that indicated on the ticket, voucher or any other confirmation of service booking without our written permission, NO CANCELLATION is possible, nor is any REFUND available for the unused ticket, voucher or other confirmation of service booking.

Where a ticket holder requires changes to be made to an issued ticket, voucher or e-ticket [change of name, date, time etc.] requiring the document to be re-issued, the terms and conditions of the service provider will apply, any ticket re-issue charges are payable by the ticket holder plus any administration costs we incur.

For bareboat charters, Gulet charters or Gulet cruises, ferries and any bookings made with other service providers, the cancellation policy of the relevant charter company or service provider will take precedence over these terms and conditions, details are available on request. In all cases we reserve the right to charge a reasonable amount to cover our administration and any other costs. The cancellation policy relating specifically to bareboat charters is included in our bareboat terms and conditions, details of which will be included with bareboat charter quotations. Following confirmation that a charter flight is booked most charter flight companies operate a 'no cancellation' policy, any refund claims must be made directly with the charter flight company by the ticket holder.

Unless stated otherwise above or in our booking details, or if over-ridden by the service providers terms and conditions the following cancellation charges will apply based on the total amount of the booking: [Refer to the separate section below that applies to Gulet charters and Gulet cruises only].

CANCELLATION PERIOD SCHEDULE

  • Up to eight weeks before commencement of the booking 15%, or Euro50, whichever is the greater.
  • Between eight weeks and four weeks before commencement of the booking 25%, or Euro50, whichever is the greater.
  • Between four weeks and one week before commencement of the booking 50%, or Euro50, whichever is the greater.
  • During the last week before commencement of the booking 80%, or Euro50, whichever is the greater.
  • During the last 36 hours before commencement of the booking 100%.
If the departure/ commencement date on an E-Voucher, E-Ticket or Ticket is changed to a later date, the date of the AMENDMENT in relation to the original departure/ commencement date will be used in the event of a subsequent cancellation based on the CANCELLATION PERIOD SCHEDULE above:

Cancellation is final, cancelled bookings can only be reinstated based on availability, upon payment of the full cost or any revised cost for the re-issued voucher or ticket. No credit for cancellation charges is normally due, any credit for cancellation charges will be at the sole discretion of Aegean Tour Travel and if applied will take the form of a time limited credit note.

Gulet Charters and Cruises

Unless stated otherwise above or in our booking details the following cancellation charges will apply to Gulet charters and Gulet cruises based on the total amount of the booking:

  • Up to eight weeks before commencement of the booking 30%.
  • Between eight weeks commencement of the booking 100%.
Refunds

Unless by prior agreement refunds are made to the original payees account less any cancellation or other charges that apply, as follows:

  • Bank Transfer refunds will be credited to the payees bank account in the same currency the original payment was made less any transfer or transaction fees.
  • Cheque refunds will be credited to the payees bank account in the same currency the original payment was made less any transfer or transaction fees.
  • Credit Card refunds will be credited to the payees card account in Turkish Lira, based on the Turkish Lira amount received on the date of the debit transaction. The foreign currency refund amount appearing on the credit card statement will be determined by current international currency exchange rates used by your credit card issuing bank, plus any commission charges that may be applied by the bank. We reserve the right to pass on any transaction charges levied by credit card processing banks to the recipient.
  • Cash Payment made in foreign currency or Turkish Lira, refunds will be made at our office in Bodrum in Turkish Lira at the current published currency buying rate.
Miscellaneous
  • Other agreements contrary to our Terms and Conditions are only valid if confirmed in writing by an authorized representative of Aegean Tour Travel.
  • All questions of dispute should be amicably settled.
  • All contracts, agreements, disputes and these terms and conditions shall be governed by and construed in accordance with Turkish Law and shall be subject to the exclusive jurisdiction of the courts of Turkey.
